Minutes of the General Purposes Sub Committee Meeting held at

Hazel Grove Bowling and Tennis Club

3.Minutes

The Minutes of the General Purposes Sub Committee meeting held on Tuesday 19th April 2011 were agreed.

4. Matters Arising:

None

5. Website:

There are currently 159 clubs registered on the website.

The email link to registered members is working well and enables mail shots to be sent out to all registered clubs very easily.

Affiliated clubs are registering for courses.  JS to send out a blanket email reminding clubs that the affiliation fee for 2011/2012 is £10.00 which will enable them to take advantage of discounted CPD courses and apply for a grant under the terms of the Club Development Fund.

The link to the Clubmark registered clubs will be incorporated shortly.

The domain name licence has been renewed for a further 24 months.

6. Sport Stockport Initiatives:

5 workshops have been arranged (free to individuals who are members of affiliated clubs otherwise £30.00 per session)

Emergency First Aid                                26th July 2011

Equity in Coaching                                  28th July 2011

Football Safeguarding                              2nd August 2011

All workshops will be held at South Manchester Sports Club, Cheadle.

A Level 1 football coaching course will be arranged for early autumn and a Level 1 cricket coaching course will be run during October 2011 at Hillcrest Grammar School.  All places will attract 50% funding support.

7.Sports Awards 2011

A great deal of progress has transpired since the last meeting.  The venue date has been confirmed with Edgeley Park as either Friday 23rd September or Friday 30th September depending upon the away fixture being confirmed for Sale Sharks.

Imagine FM and the Stockport Express are onboard to promote the event.  A radio interview has been recorded with BH for transmission over the next few weeks.  Press releases are in place with Stockport Express who will run a series of articles leading up to the event.

Sponsorship is being sought for the event by Laura Mylotte.

Nomination forms for the several categories are available in electronic format either on the Sport Stockport website or the Stockport Sports Trust website.  Paper copies are also available from ID.  The closing date for receipt of nominations is Friday 26th August 2011.

8. Stockport Sports Trust - Outcome 6:

Due to the changes in funding by the local authority several of the Outcomes have been dropped.  Outcome 6 is remaining in the process and work is continuing particularly relating to the activities affecting training and funding bids.

The next meeting is scheduled for Wednesday 20th July 2011 at Target Fitness Avondale commencing at      10.00 a.m.

9. Club Development Fund Applications:

Applications were received as follows:

Woodford Cricket Club - all criteria met.  Require funding towards developing their junior section practice facilities.  Scheme cost £1,100. Award of £400 approved.

Hazel Grove Bowling and Tennis Club - all criteria met. Require funding to reinstate the coloured playing surface of 2 tarmac all weather tennis courts following patching repairs.  The poor surface appearance is affecting player take up on the courts and directly affects the junior members who use the courts for coaching and league matches.  Scheme cost £1,030 (materials only).  Award of £400 approved.

ID reported that 10 of last year's award recipients had returned their scheme monitoring and evaluation information.  He would be following up on the remainder.

10. Active Stockport Alliance:

BH was able to attend the last meeting and reported that a presentation, similar to the one made at our AGM, was made by Laura Murphy.  There are still hopes that the olympic torch will pass through Stockport but the route is still to be decided.

The next meeting is scheduled for 21st July 2011 in Cheadle.

Stockport has so far been linked with Papua New Guinea as an olympic host offering pre-olympic training facilities.

Discussion took place concerning the possibility of providing some form of hosting/linkage/sponsorship with athletes and their families who are based in Stockport.  It was considered to be too early at this stage to determine any firm proposals.

11. Stockport Partnership Forum:

JS reported upon an event that will be held at Edgeley Park on Tuesday 19th July commencing at 5.00 pm. to investigate how potential legacy outcomes could benefit Stockport.  This will be aimed particularly at local sports clubs, businesses and organisations.

12 Sport Stockport Chair:

Sport Stockport has currently no Chair person in post.  It is essential that the situation is resolved as soon as possible. It was agreed that ID and BH would draw up a 'job description' to identify the main aspects of the post for circulation to the members of the Group for comment.

13. Any Other Business:

JS queried the status of the former 'Executive Forum'.  It was agreed that since the formation of the links with Stockport Sports Trust the Forum really served no particular purpose.  It was agreed that JS write to Cllr John Smith (Leisure Chair SMBC) explaining the situation regarding links with the borough council.

It was agreed that the Mayor and Cllr Smith be invited to attend the Annual Awards Dinner.

YS enquired whether the Group would sponsor the junior bowling competition to be held in Alexandra Park during August 2011.  This was agreed on the same terms as previous years.

A discussion took place about the procedure to be adopted when clubs were not receiving fair treatment at hired training facilities (i.e. faulty heating, damaged playing surfaces etc.)  It was agreed that initially clubs should contact the landlord (school, Sports Trust, SMBC etc) to try to resolve the situation.  The Group would be prepared to pursue matters further if a satisfactory outcome was not obtained.

DH raised a question about running a junior table tennis tournament (under 18's) hosted in the Stockport area.  Request for help and guidance was made.  ID offered the services of the 'volunteer programme' to assist with support for the proposed event and offered assistance with contacts regarding venues.  It is hoped to organise the event during January or February 2012. It was agreed that the proposal be referred to DS for information and advice.

14. Next Meeting:

The next meeting will be Tuesday 23rd August 2011 at Hazel Grove Bowling & Tennis Club commencing at 7.30 p.m.
